Multi-Factor Authentication (MFA)

 

What does “MFA” mean?

With Multi-Factor Authentication, users must utilize two factors to access an IT service. The first factor is information that only the authorized person should know (such as their personal account password). The second factor is information that only the authorized person should possess (this could be a one-time code from an app, a security token like Fido2, a fingerprint, or facial recognition).
At Vetmeduni, we have chosen a one-time password delivered through an authenticator app.

Why MFA?

MFA is designed to enhance the security of our IT systems. It aims to prevent unauthorized individuals who have unlawfully obtained employee account passwords from accessing Vetmeduni’s IT systems. MFA significantly reduces the potential for attacks.
VPN access and VetCloud are already secured in this way.
Starting in early January 2025, the following IT services will optionally require an additional factor:

• VetmedOnline
• Vetucation
• VetEasy
• Casus
• Mobility Online
• OWA
• Uni App

From early February 2025, its use will become mandatory.
Throughout 2025, additional applications will follow.

What is an authenticator app?

An authenticator app continuously generates one-time codes with a limited validity period, also known as One-Time Passwords (OTP), One-Time Codes, or Time-Based One-Time Passwords (TOTP). These one-time codes can be used as the second factor for login. Only the codes currently generated by the authenticator app can be used for login. After 30 seconds, the code expires, and a new one is generated.

Do I always need a second factor?

A second factor (such as the code from the authenticator app) is only needed when accessing Vetmeduni services externally.
Exception: Due to specific requirements in VetMedOnline, the second factor must also be used internally. However, this should only be necessary once per day, provided the user does not deliberately log out of the system.

How do I obtain such a “second factor”?

The setup may seem complicated at first glance but is actually quite simple. Detailed instructions for employees can be found here.
